What problem does Checklists solve?
Checklists helps teams standardize recurring issue and article processes in YouTrack. It is designed for reusable templates, required checklist items, project defaults, and workflow enforcement, not just basic Markdown checkboxes.
Can one issue have more than one checklist?
Yes. An issue can have multiple checklists. Users can view them as a stacked list or as tabs.
Can articles have checklists?
Yes. YouTrack articles can have their own checklists and checklist history. Article checklist state is stored on the article, separately from issue checklist state.
What is the difference between a checklist item and a section?
Checklist items are completable rows. Sections are headers used to group related items. Sections do not count as completed or incomplete checklist work.
What are required items?
Required items are checklist items that must be completed before a guarded workflow transition can succeed. Optional items do not block guarded transitions.
Can templates contain multiple checklists?
Yes. A template can contain one or more checklists. Applying the template copies all of its checklists into the issue.
Are templates live-linked to issues?
No. Templates are copied into issues when applied. Updating a template later does not update checklists that were already copied into issues.
Can templates be applied automatically?
Yes. Project administrators can configure Auto Apply Templates rules. Rules apply selected templates when a new issue matches configured issue types.
Do auto-apply rules run when the issue type changes later?
No. Auto-apply rules run when a new issue is created. Changing the issue type later does not silently apply templates.
Can workflow transitions be blocked?
Yes. Project administrators can configure guarded states. A guarded transition is blocked until all required checklist items are complete.
Can projects have their own statuses?
Yes. Projects can inherit global statuses or define project-specific statuses.
What happens if statuses are disabled?
Issue panels hide status selectors and status tags. Users complete items with checkboxes only, and project-specific status controls are disabled.
What happens if an item references a deleted status?
The issue panel shows the item status as unavailable and lets the user choose a current status.
Are assignees and due dates copied into templates?
No. Templates store checklist structure, item text, descriptions, and required flags. Assignees, due dates, completion state, and history stay on the issue.
Can checklist assignees receive notifications?
Yes. Administrators can enable assignment email notifications globally, and project administrators can disable them for a specific project.
When enabled, Checklists sends an email after a saved checklist item assignment changes to a specific user on an issue or article. This includes assigning an item to yourself. No email is sent when the assignee is cleared, the assignment is unchanged, the recipient cannot be resolved to a verified YouTrack user email, or the recipient cannot read the issue or article.
Can users save issue checklists as templates?
Yes, when they have the required access. Users can save the whole issue checklist panel or a single checklist as a project template. Global template saving is available to global administrators.
Can read-only users view checklists?
Yes. Users without update permission can view checklists and history, but cannot change checklist content.
Can Helpdesk reporters be hidden from the checklist panel?
Yes. In Helpdesk projects, project administrators can hide the issue panel from reporter-facing views while keeping it available for agents and project users.
Can checklist history be disabled?
Yes. Global administrators can disable checklist history when teams do not need a separate checklist change log.
